Email signature checklist
Keep it concise
Name, role, company and two or three useful contact methods are usually enough. Avoid turning the signature into a full profile page.
Use public image URLs
A logo or photo must be reachable by the recipient's email client. Local computer paths and private cloud URLs will not work for recipients.
Avoid tracking or sensitive data
Do not place API keys, internal identifiers or confidential information in links. Add campaign parameters only when your organisation permits them.
Test Gmail and Outlook
Send yourself a test email after installation. Outlook, Gmail, Apple Mail and mobile clients can apply different spacing and image rules.
How to use an HTML email signature
1. Build and review
Enter only the contact details you want recipients to see, choose a layout and review the live preview.
2. Copy rich signature
Use Copy rich signature, then paste it into your email client's signature editor. If formatting is stripped, use the downloaded HTML as a reference.
3. Send a test email
Send a test to yourself and check desktop and mobile rendering, links, spacing and any remotely hosted logo or profile image.
